Privacy policy for registered users of the youtrex website and their services

The following data protection provisions apply to the holders of youtrex membership accounts on the youtrex website (hereinafter: “User” or “Users”) in relation to the operator of the youtrex website DGAN mbH (Deutsche gemeinnützige Gesellschaft für akademische Nachwuchsförderung mbH).

1. Basic principles of youtrex in processing your personal data

youtrex takes the protection of your personal data very seriously and strives to collect such data only to the extent that this is necessary. youtrex will use your personal data only for the purpose of best tailoring the career support to your needs and for generating offers that are attractive and useful to you.

Access to all personal data is restricted to youtrex employees as well as to the associated companies that provide technical network support. All these persons have undertaken to comply with the provisions of data protection law. Partners receive access to the data as consented to in each case and permitted by applicable law.

2. Collection of personal data

2.1. Registration data
During registration with, youtrex will collect those personal data about you that it needs to enable the use and personalisation of the User profile-related services for youtrex members. The collected data varies depending on whether the registrant is a pupil/Abiturient (or equivalent), university or college student/graduated law or teacher trainee/PhD student, an alumnus or an employee of a youtrex partner. To begin with these personal data are:

Email address

Other youtrex members in principle do not have any access to your email address and password. youtrex will neither disclose nor divulge these data to third parties.

In addition, we also collect those personal data that we need to use and personalise the career offers. Which data we collect and store during the registration process is clear from the respective application process and the data asked for during that process. The data we collect varies depending on whether the registrant is a pupil/Abiturient (or equivalent), university or college student/graduated law or teacher trainee/PhD student, an alumnus or an employee of a youtrex partner.

  1. Your always-accessible registration data depends on your user status. At minimum the following information is always visible to everyone: first name + last name + status
  2. Main subject / Main course of study / Position 
  3. Form/Year / Current semester / Partner 
  4. School / University / Company
  5. Profile image

Any additional information that you provide on youtrex will only become visible to a partner and/other youtrex member (when they visit your profile) after you have accepted an invitation to an event, joined a talent pool, or published a testimonial and assigned it to a certain partner. Before you do not actively indicate your interest, your data will not be visible. This authorisation may be revoked at any time. Please also note the following information on revocation under section 2.15. below. 

Partners need to register with youtrex first and enter into an agreement with youtrex in which the rights and obligations of the parties are set out. In particular, youtrex partners must agree with the restrictions regarding the access, storage, and use of personal data. youtrex enters into contractual agreements and takes technological steps to prevent potential misuse of personal data by the partners as far as possible.


2.2. Voluntary profile information
Apart from the registration data, you can also voluntarily share additional information about your interests and qualifications so that the other youtrex members and youtrex partners can learn more about you, choose you as a suitable contact, or send you relevant information. At present, voluntary information includes information such as details about your qualifications, areas of interests (tags), or social involvement. If you wish, you may also upload a photograph of yourself, a CV or other documents.

Once entered, this voluntary information will become visible to other youtrex members/partners after you have explicitly authorised this (e.g. by accepting an invitation to an event or such like). You can revoke this authorisation at any time.  

You can call up and change the personal data stored about you at any time in your youtrex profile. You can revoke your voluntarily shared information with future effect at any time by deleting the information concerned in your profile data. 


2.3. Reachability of your profile for non-youtrex members
Non-youtrex members have no access to your profile, nor can it be found by search engines on the Internet.


2.4. Use of collected data by the operators of the youtrex website
The operators of the youtrex website will collect, store, use and transfer the personal data covered by this privacy policy in accordance with the statutory data protection provisions, and will do so only to the extent that this is necessary to offer you the services of the youtrex website and within the scope of your consent given when accepting this privacy policy. Consent is not required in cases where youtrex is by law entitled or required to transfer data – for example, in order to prevent fraud or other misuse, or to protect the website against hackers. 

The operators of the youtrex website will use and transfer data only to the extent which is in best keeping with the User’s personal protection interests while at the same time allowing the provision of the comprehensive youtrex website services.


2.5. Data processing by service providers
For the performance of certain services, may use external service providers to carry out certain data processing tasks on our behalf and under our instructions. will select these external service providers carefully in accordance with Sec. 11 of the German Federal Data Protection Act (Bundesdatenschutzgesetz, “BDSG”) or, as of 25 May 2017, in accordance with Art. 28 of the General Data Protection Regulation (GDPR) and will observe the requirements of applicable law when contracting such provider.

To the extent that such contracted providers obtain access to your personal data, they may use such data only to carry out the delegated data processing tasks and not for any other purposes. In addition, our external providers are contractually required to meet the level of data security guaranteed by, and continually monitors the providers’ compliance with the contractually agreed obligations and guaranteed level of data security.


2.6. Accessing websites of, cookies, Google Analytics and data about User behaviour
We use session cookies so that you to use the membership area of Session cookies are small information units stored in the working memory of your computer. A session cookie stores a randomly generated identification number known as a session ID. Apart from a few metadata, these cookies cannot store any other data. All session cookies are deleted from the User’s computer when the browser is closed. 

This website is run on a web server which creates logfiles in which certain access data is anonymously stored when you visit our website or call up a file. These are:

  • IP address (for anonymisation purposes truncated by the last octet)
  • Date and time of access
  • Requested webpage or file
  • Status of the request
  • Transferred data volume
  • Webpage from where the access was made (referrer)
  • Identification of the browser used
  • Identification of the operating system used

These data are collected for statistical purposes only, are not disclosed to third parties, and will not be linked to your registration data. The data is deleted automatically after 31 days. In the event of manipulations or attempts at manipulation, we reserve the right to activate full logging of all accesses for a limited period of time.


2.7. Use of Google Analytics / creation of User profiles
youtrex uses Google Analytics, a web analysis service of Google Inc. (“Google”) with the help of which DGAN mbH can analyse the visitors’ interaction with your website.  Google Analytics makes it possible to create a number of different reports which show how the visitors interact with the website. The thus collected data helps us to improve the website. Google Analytics only identifies website trends. The collected data are anonymous. The identity of the individual User remains unknown.

Google Analytics uses so-called “cookies”, which are text files that are stored on your computer to analyse your use of the website.  The information generated by the cookie about your use of this website is usually transferred to and stored on a Google server located in the USA. IP anonymisation has been activated on this website so that Google will truncate your IP address in advance within member states of the European Union or other signatory states of the Agreement on the European Economic Area. On behalf of the operator of this website, Google will use this information to evaluate your use of the website, compile reports about website activities for their operators, and provide other services related to the use of the website and the Internet for the website operator. The IP address transferred by your browser via Google Analytics will not be linked to any other Google data. You can prevent cookies from being saved on your computer by making the appropriate settings in your browser software; we however point out that you may then not be able to use all of the functions of this website.

We once again point out that, on this website, Google Analytics has been supplemented by the code “gat._anonymizeIp();” to ensure the anonymous collection of IP addresses (known as IP masking). 

The user profiles generated via Google Analytics are pseudonymised user profiles which will not be linked to any data of the pseudonym.


2.8. Individual offers for members
As part of youtrex’s services, we or our partners may send you individual messages via or occasionally also by postal mail based on your profile, tags, and talent pool memberships. These offers include such things as invitations to events, information on job opportunities and support programmes etc. When you accept an offer or invitation, registration data (except contact information such as your email address, postal address or phone number) will be released to the partners and your profile information will be made visible for that partner when it visits your profile (see section 2.2. “Voluntary profile information”). Other personal data transfers to our partners or other companies and institutions do not occur. 


2.9. Dates, events, event management
In order to define the target group and create a anonymised target group mailing list for things like invitations or announcements for upcoming events, youtrex allows its partners access to the data you entered at registration or profile completion (e.g. user status, field of study, place of residence, gender, age, EU citizenship (the last category is e.g. relevant for support programmes specifically directed at non-EU citizens). 

Apart from this, youtrex partners will also receive your profile information if you join a talent pool, accept an invitation or indicate your interest in a partner’s career offer. 

You can terminate a talent pool membership at any time (under “My talent pools”). After doing so, your data will no longer be transferred to that partner.


2.10. Notices and news
youtrex (or DGAN Deutsche Gesellschaft für akademische Nachwuchsförderung as the project manager) sends all youtrex members or certain target groups of the community notices and news at irregular intervals. These communications inform you about current activities, important dates, or other selected news items of particular interest to you. Notification emails containing study and career-relevant news are an important feature of youtrex. Apart from this, you will also receive occasional emails from as and when the need arises on your part (e.g. when asking for a new password). 

The User has the right to administer the email notifications for individual offers and types of partners in Settings > Notifications at any time, excluding those of youtrex or the project manager DGAN. 


2.11. User’s control of data use
The User has the right to view his/her personal data stored by us at any time. For this purpose the User contact youtrex at any time (see section 3).

Likewise, the User is entitled to request changes to or the deletion of his/her personal data at any time.


2.12. Use of data by User
All data transferred to the User is intended for his/her personal use only. In particular personal data of other Users, to the extent that it becomes known to the User through youtrex, only serve his/her personal networking purposes and may not be disclosed to other persons. The User is strictly prohibited from using the data which has become known to him/her for commercial purposes.


2.13. “Under 18”
The youtrex’s services are intended for upper school pupils, university students, graduated law and teacher trainees and PhD students. Parents or guardians are responsible for protecting the privacy of their children/minors.


2.14. Termination of membership / revocation of consent
You can access and change your personal data stored on in your youtrex profile at any time. You can delete your profile and your user account with or revoke the consent mentioned above. To do so, please send us an email at or a letter to youtrex/DGAN (Bahnhofssallee 12, 61231 Bad Nauheim). As soon as your youtrex membership is effectively terminated, you are no longer entitled to any services provided by youtrex or its partners through youtrex. In this case all entries related to your profile, subscriptions or a scholar status will also be deleted.

Even after terminating a membership with the youtrex website, User data will be stored and used for statistical purposes in anonymous form in a way that individuals cannot be identified.


2.15. Changes to this Privacy Policy
We may amend this privacy policy at any time with or without advance notification. In the event of substantial changes to the manner in which we treat information by which you are personally identifiable, or in the event of material changes to the privacy policy, we will either publish a notice on the youtrex website, or send you an email message to give you the opportunity to check the changed terms and conditions before you continue using the website. If you disagree with any of the changes to our terms and conditions and therefore no longer wish to use youtrex, you can of course ask to have your account deleted as set out in section 2.15. Irrespective of determinations to the contrary, our current privacy policy applies to all information which youtrex has about you and your User account.

If you continue to use youtrex after having been informed about policy changes by email or by publication of a notice on the youtrex website, you tacitly agree with the notified changes. 


2.16. Safeguards against data abuse
The operators of the youtrex website apply the highest data protection standards and require all Users to strictly adhere to our privacy policy. As soon as a misuse of personal data becomes known to the operators, they will immediately take the necessary steps to stop such misuse. The operators, however, do not assume any liability for damage caused by the abuse of a User’s data unless it has been caused by gross negligence or intent on the part of the operators of the youtrex website or by persons whose conduct is attributable to the operators of the youtrex website.
